Wheel Hub Assembly Sample Approval Before a Bulk Order
A sample is useful only when the buyer can identify what it represents and what the approval covers. The approval packet should connect the physical wheel hub assembly to the RFQ line, application evidence, drawing, measurements, sensing configuration, kit contents, packaging and revision status.
How should a wheel hub assembly sample be approved before bulk ordering?
Assign the sample a stable ID, preserve its supplier model and RFQ line, verify the OE/application evidence, photograph every critical interface, compare drawing-defined characteristics with a controlled method, record ABS or encoder configuration and supplied hardware, review packaging, and resolve every deviation before release. Approve a named revision for a named customer scope—not a generic ‘looks good’ sample. Bulk supply must match the approved evidence, and any later change should trigger documented review.
Define what the sample must answer
Before shipment, state the purpose: confirm a new OE/application candidate, distinguish two variants, approve a proposed drawing, verify kit contents, evaluate packaging or support a customer-specific release. A single sample may support several questions, but each needs an acceptance source and owner. If the buyer asks only for “one sample,” the supplier may send a convenient item that does not represent the final configuration.
The request should include RFQ line, exact identifier and source, vehicle and market, model-year or chassis boundary, axle and side, driven status, ABS configuration, main interfaces, desired supplied items, drawing or dimension evidence, packaging expectation and destination. Ask the supplier to return its proposed model, sample revision, deviations and open questions before dispatch.
Do not assume that a sample is free, available, representative of production or available on a particular timeline. Those are commercial conditions for the exact quotation. This guide explains the approval record, not JNHJDP’s or any supplier’s standard sample policy.
Create sample identity before opening the box

Photograph the unopened package, labels and sample together. If an external label conflicts with the part or supplier documents, stop and resolve identity before dimensional work. A perfectly measured but misidentified sample creates a dangerous master record.
Identity checkpoint before technical review
Have a second reviewer reconcile the physical label, dispatch record, quotation line and proposed drawing revision. Record every mismatch as an open item before measurement begins, so later evidence cannot be attached to the wrong variant.
Capture a repeatable visual evidence set
Use a neutral background, consistent orientation and adequate light. Capture overall inboard and outboard views, wheel flange, knuckle or mounting flange, bore or spline, studs and threads, seal or encoder side, sensor lead, connector, clips or grommets, included hardware, labels and packaging. Add oblique views only where they explain offset, cable routing or interference.
File names should include the sample ID, view and date. Keep raw images and an approved contact sheet if the organization uses one. Do not edit away damage, brand marks or discrepancies. A ruler can provide scale for a photograph, but it does not replace a controlled dimensional measurement. Avoid using one “golden sample” photograph for multiple variants.
Compare the sample against the approved information hierarchy
First compare the sample with the proposed supplier drawing and configuration record. Then compare the application evidence, customer or original sample where legally and practically available, and relevant catalog notes. Record agreement and conflict by field. If sources disagree, do not vote by majority; decide which source is authoritative for that field and application.

It supports the need for structured comparison but does not approve the particular sample. A sample’s flange or spline may help reject a candidate, yet complete vehicle fitment still needs application-level evidence.
Measure drawing-defined characteristics and preserve the method
Create a characteristic list from the drawing or agreed specification. Identify datum, nominal, tolerance, method, instrument, result, unit, operator and date. Use the instrument appropriate to the characteristic and tolerance. Do not treat a digital display as inherently accurate, and do not round results to make them agree.
NIST explains that metrological traceability applies to the measurement result through a documented calibration chain. The sample packet should be able to connect results to instrument identification and current status under the buyer’s or supplier’s quality system. This guide does not prescribe a calibration interval or claim a particular party’s traceability.
If no controlled drawing exists, record observations and candidate dimensions as such. Do not invent tolerances from the sample or a competitor part. The next action may be to request a supplier drawing, improve the OE evidence or agree a limited fitment trial under the customer’s controls—not to label an observed value as specification.
Approve sensing configuration separately from mechanical appearance
Record whether a magnetic encoder, separate target, integrated sensor or external lead is supported by evidence. Capture encoder side, lead route, connector keying, pin count where safely observable, clips and grommets. A connector that mates physically does not prove electrical or signal compatibility, and a dark seal does not prove encoder type.
If functional verification is required, use the application or component manufacturer’s defined method, equipment and acceptance criteria. BCA’s year/make/model torque resource illustrates another application-specific boundary: generic values are unsafe. Likewise, sample approval should not invent an axle-nut torque or sensor test from a general article. Record the source that governs the customer’s installation and validation.
Freeze kit contents and supplied scope
Lay out the hub and every included item separately. Record count, identity, finish or configuration fields actually required, and packaging location. Distinguish components integrated into the assembly from loose hardware. A bolt-on hub photographed with an axle nut does not prove every future package includes the nut; only the approved BOM and quotation can do that.
Check that loose items cannot damage the sample during transit. Compare the included-items list with the quotation and product description. If the buyer expects to reuse vehicle hardware, that should be stated in the service context rather than implied by an empty kit. Installation always follows the application procedure.
Approve the product and packaging revisions together
Inspect barrier, caps, insert support, cable restraint, carton, label and movement. Photograph how the unit is oriented and how accessories are separated. Record the unit and carton pack revisions. A technically correct sample delivered in temporary courier foam does not approve the bulk export pack unless the temporary condition is explicitly marked.
If final private-label artwork or pallet configuration is not ready, split the decision: product sample approved, packaging pending. This prevents a green product status from silently releasing an unapproved label or transit system.
Resolve deviations with an explicit decision
- Describe the exact field, result or visual difference.
- Reference the drawing, approved record or application source that conflicts.
- Identify whether the issue affects fitment, function, package, traceability or appearance.
- Keep the sample and affected evidence on hold.
- Request correction, clarification, drawing change or a new sample as appropriate.
- Do not approve an unexplained deviation because the sample can be physically installed.
- Record the final disposition and who authorized it.
An approved deviation must be connected to the sample and future production record. If it is customer-specific, do not propagate it to every product page or buyer. If the supplier updates the drawing, review the revision and decide whether existing measurements remain valid.
Issue a scoped approval packet
The approval statement should name the sample ID, supplier model, RFQ line, application scope, drawing, ABS record, kit BOM, packaging status and effective date. List open exclusions. “Approved for trial order for customer X under drawing revision B; final pallet pack pending” is useful. “Sample OK” is not.
Store the sample or define the photo and record set that acts as reference. Protect the physical sample from corrosion, handling and component substitution, and label it so it cannot be shipped accidentally. If the sample is returned or consumed, preserve its controlled evidence.
Verify bulk supply against the sample without treating the sample as the only specification
Incoming inspection should compare identity, approved drawing characteristics, ABS configuration, kit contents, packaging and labels. A golden sample can clarify appearance and configuration, but it is not a substitute for tolerances or functional requirements. Use it with the controlled documents.
Any proposed change in model, drawing, components, sensor, source, process or packaging should enter change review. Decide whether documents, measurements or a new sample are necessary. Link approval to the revised record before release. This closes the loop between sourcing, quality, catalog accuracy and repeat orders.
Run a cross-functional approval meeting
Purchasing confirms the quotation and supplier model. Product or catalog staff confirm OE/application evidence and variant fields. Quality reviews drawings, measurements, defects and disposition. Logistics reviews the pack. Sales or the customer owner confirms any customer-specific scope. One person can hold several roles in a small organization, but the record should show which decisions were made.
Present open items first. A sample with an unresolved connector, drawing conflict or temporary package should not receive an undifferentiated green status. Split decisions where appropriate: mechanical configuration approved, sensor evidence on hold; product approved, private-label pack pending. State what evidence closes each hold.
Issue meeting notes with the sample ID, revisions reviewed, decisions, actions, owners and dates. Attach them to the master record. Email approval without this scope is difficult to interpret during a repeat order months later.
Worked case: sample matches dimensions but not the supplied BOM
A sample matches the approved flange, spline and sensing configuration, but the quotation said an axle nut was included and the package contains none. Do not reject the hub’s technical configuration automatically, and do not overlook the missing item. Record product sample as technically conforming to the characteristics checked and kit scope as nonconforming or unresolved.
Ask whether the quotation, BOM or sample is wrong. If the nut is required in the agreed kit, obtain the corrected sample or a documented, approved BOM and pack change according to the buyer’s rule. If the quotation is revised to exclude it, ensure price comparison, product copy and customer expectation change together. Preserve both revisions.
This split disposition prevents one mismatch from obscuring what the sample did prove, while also preventing a partial approval from releasing the wrong commercial package. The final master should leave no ambiguity about what is included.
Sample retention and retirement
Label retained samples with status, ID, supplier model, revision, approval date and storage owner. Protect them from corrosion, impact and accidental picking. Define which photographs and records are authoritative if a physical sample changes over time or must be destructively tested.
Retire a reference sample when the product or pack revision is replaced, evidence is withdrawn, or condition no longer represents approval. Do not discard the decision history. Mark the physical item obsolete and prevent it from being used to approve new stock. The replacement sample enters the same controlled workflow.
First bulk-order confirmation
Use the approved sample packet to create the receiving plan. Verify identity and revision, selected drawing characteristics, ABS configuration, BOM, labels and packaging. If the bulk unit differs, contain it and open a change or nonconformity review; do not edit the sample record after the fact.
After acceptance, link the receipt and inspection result to the approval. This demonstrates that the controlled sample translated into supply evidence and gives the next repeat order a clearer baseline.
Sample-request fields that reduce revision loops
Ask the supplier to place the RFQ line and proposed model on the pro forma or dispatch record, state whether the sample represents standard or provisional production, list every deviation from the proposed bulk item, and identify the drawing, BOM and pack revisions. Request the actual dispatch item photograph and label before shipment when variant risk is high.
Provide the reviewer’s questions in a table rather than scattered messages. Include OE source, vehicle boundary, axle, side, drive, ABS evidence, interfaces, contents and packaging. The supplier should answer unknown where evidence is unavailable. That answer is more useful than a confident but unsupported check mark, because the buyer can decide whether another source or physical comparison is needed.
When the sample arrives, reconcile dispatch evidence with the package before starting approval. This simple step catches a changed part or last-minute substitution before the inspection record is built around the wrong identity.
